Operations Coordinator

Term Position (Commencing ASAP - February 27, 2026, with the possibility of an extension)

DUTIES AND RESPONSIBILITIES

Canada’s Smartest Kitchen (CSK) is seeking a highly organized, customer service-oriented individual to provide guidance and support to the CSK team while leading business development and operational activity. Reporting to the Director, the ideal candidate will:

  • Act as a first contact for all visitors to CSK.
  • Offer administrative guidance and support to staff regarding daily work tasks and assigned projects.
  • Maintain close communications with the Director regarding operational finances, status of projects, work assignments, etc.
  • Create, submit, and track purchase requisitions, travel claims, student timesheets, service requests, invoices, and other ÎçÒ¹av forms.
  • Assist in the preparation and management of statements of work, contract agreements, and proposals.
  • Assist in monitoring budget revenue and expenditures by tracking, reconciling, forecasting, and reporting on established budget accounts.
  • Input and track financial data for a work in progress file and project time tracking system.
  • Participate in meetings and support key stakeholders such as the CSK Advisory Board.
  • Prepare internal and external presentations and minutes, when required.
  • Manage daily digital communications via social media, ensuring website accuracy and developing marketing materials.
  • Promote CSK at business mixers, tradeshows, and through professional networks.
  • Follow up with potential and existing clients, disseminate opportunities for new business, and maintain client relationships.
  • Collaborate with the Director and staff on strategic partnerships, performance metrics, and staff work assignments.
  • Ensure safe and secure handling of cash requirements at CSK, such as stipend requests and petty cash.
  • Other duties as assigned.

QUALIFICATIONS

  • A post-secondary business-based diploma or degree with a focus on financial management or accounting is required.
  • A minimum of two years of recent, related experience is required. A combination of education and experience may be considered.
  • Superior interpersonal and communication skills (verbal, written, and electronic).
  • Strong organizational, time management, and project management skills.
  • Proficiency in computer applications, with an emphasis on Excel and introductory accounting.
  • Ability to work collaboratively in a dynamic environment while meeting the needs of multiple stakeholders.
